On October 29, 2026, Capilano University will transition from SurveyMonkey as our enterprise survey platform to a new three-year License Agreement with Qualtrics.

Background

Over the past number of years, CapU has licensed both SurveyMonkey (for enterprise use) and Qualtrics (for targeted users) to support surveys on campus. In the Fall of 2025, a review was undertaken to explore the desired path forward the two platforms at the end of their licenses (in Fall 2026). The review explored the specific institutional, researcher, and student use of the platforms and determined that the preferred approach would be to consolidate to Qualtrics, provided that the consolidation was cost neutral for the institution.

As we approach the end of our licenses in the Fall of 2026, DTS worked with the Director, Teaching and Learning (as the Chair of the ETLE Committee) over the summer to explore options for consolidating to a single platform. As a result, the decision was made to consolidate our survey licenses to a single enterprise-wide license with Qualtrics.

As an enterprise survey system, Qualtrics can be deployed for:

  • Student use (for learning about survey design and deployment, analytics and quantitative research methods, plus for capstone and/or honours projects and applied research projects)
  • Researcher use (for small to large-scale research projects)
  • Enterprise/institutional use (for student, alumni, and employee surveys, or other institutional surveys)

The DTS team is currently establishing the processes for Qualtrics access, and these will be communicated to all members of the CapU Community as soon as possible.

Archiving Surveys and Survey Data in SurveyMonkey

Based on information provided by SurveyMonkey, users will continue to have access to their accounts and survey content only until the end of the current subscription term. Once the SurveyMonkey subscription ends, on October 29, 2026, SurveyMonkey has advised that each individual user must ensure any data they wish to retain has been exported by that day. On October 30th, existing accounts with SurveyMonkey will transition to a free account rather than an enterprise account, but data will not transfer between the enterprise account to the free account. We encourage all SurveyMonkey users to:

  • Close any active surveys prior to the end of the SurveyMonkey license (no later than October 29, 2026).
  • Export survey response data (Excel/CSV recommended).
  • Export survey summaries and reports that may be required for future reference.
  • Save copies of survey questions and survey structures for any surveys that may need to be recreated in Qualtrics or retained for archival purposes.
  • Verify that exported files are stored in an approved university storage location.

Please refer to the Exporting Survey Results page for step-by-step instructions. It is also worth noting that exporting response data alone does not preserve a working survey. Users who may need to use a survey again in the future should retain a copy of the survey design and questions in addition to the response data.
